PERSONAL ASSISTANT TO THE EXECUTIVE DIRECTOR OF INITIATIVES OF CHANGE INTERNATIONAL (full time)

CONTEXT

Initiatives of Change International is seeking a Personal Assistant to the Executive Director. We are looking for someone with the relevant skills, but above all someone who is committed to IofC’s mission and values, reflected both in their work and personal life.

This position is suitable for a recent graduate but most importantly you must be professional, organised, able to prioritise, enthusiastic, self-motivated and comfortable communicating with a wide range of people.

The role will be based in London, UK. The position is full time for 12 months with the likelihood of future employment, depending on suitability and available funding.

PRIMARY TASKS AND RESPONSIBILITIES

The Personal Assistant will assist the Executive Director in fulfilling his role of carrying his responsibilities including:

  • Receiving and organizing incoming correspondence and documents as well as producing drafts.
  • Taking responsibility for calendar management, requiring interaction with both internal and external contacts
  • Assisting in the setup of face-to-face as well as virtual meetings, including preparing agendas, taking notes, and preparing minutes.
  • Arranging travel schedules and reservations for the Executive Director and members of the International Council as required, and completing follow-up expense reports.
  • Working in teamwork with other members of the Operations Team, the Executive Team, and members of the International Council.

  • Flexibility and enjoyment of the administrative challenges of supporting a global operation

Candidates should have demonstrated ability to:

  • Handle a wide range of administrative and executive support-related tasks
  • Prioritize and manage multiple projects/activities simultaneously, and follow through on issues in a timely manner
  • Work with minimal supervision
  • Interact with a diverse group from IofC International staff, management, as well as the wider network
  • Work under pressure, while remaining flexible, proactive, resourceful, calm, and efficient.

QUALIFICATIONS

  • Minimum of an undergraduate degree in a related field
  • Minimum of one year’s experience in office management/executive support position.

LOCATION

The successful applicant will need to be based in the UK. The candidate will need to be available for some international travel when needed.

TERMS AND CONDITIONS

Remuneration will commensurate with experience. You will work partly from our London office and partly from your home/ office. 

START DATE

January 2018 or as soon as possible
